Document Rules can be set to determine which categories of Documents are automatically shared with specific user types at a Building level. Rules set for an individual Building will override the Document sharing Rules set for the organisation. Document Rules can be used when a building has a requirement for Committee Members and Owners to view Documents not normally available to them based on the organisation settings, or to restrict access to documents that would normally be available to them based on the organisation settings.
Organisation Admins and Strata Managers can view and make changes to the Document Rules for an individual building from the Building Profile.
How to access Document rules
Go to the Building page. Use the Search bar to find the Building.
Click on the plan number to open an individual Building Profile.
On the individual Building Profile, select Rules to open the Rules pane.
You can set Rules here for Invoice processing, recurring Invoice processing, Document Sharing and Jobs.
To add or edit Document Rules, select Documents Sharing.
Click the +Document rule at the top right to add a new rule.
Existing Documents Rules are shown in the centre
Hover your mouse then click on the three black dots at the right to edit existing Document rules.
History shows all changes that have been made to Document rules.
Edit or delete an existing Document Rule
Once you've clicked on the three black dots at the right of the rule, you'll see options to Edit or Delete an existing Rule
If you select Edit you can:
Change the Category.
Change the roles the Document is shared with.
Edit the Description.
Save any changes when you're ready.
Create a new Document Rule
Go to the Documents Sharing tab and select +Document Rule
Enter or choose the Document category for which you want to create the Rule from the dropdown list.
To automatically share with specified roles, select from the dropdown list
Enter a description for the Rule
Save your changes
