Organisation Admins can exchange messages with other Strata Organisation employees and Building Contacts for their managed buildings.
Note: Messages can only be sent to users with an active profile.

Sending Messages
Organisation Admins can choose from a few options for sending messages within the Portal.
Messages are linked to the Plan Number and address of a Building, so that it's easy to keep track of all communications for Jobs.
When creating a new message, Organisation Admins can select internal and external contacts and then add or delete them from the chat later on if necessary.
They can also mention a specific user in a conversation by typing @(user name). When mentioned the user details will be in blue.
Message Stakeholders
One way to send a message is from the list view of the Document Management System.
Click the Documents Icon to go to the Document Management System then select the 'Invoices' tab.
Search for an Invoice by entering the Plan Number or Contractor's name then click the three dots on the right of the row and select 'Message Stakeholders'.
When the 'Message Stakeholders' window opens, Organisation Admins can open a chat with selected users and contacts about the Invoice.
The Building address and file name of the Invoice will be pre-filled along with all of the contacts that appear under 'Shared with' on the Invoice page. Changes can be made to this information.
Select internal and external contacts to discuss the file with. Enter a subject and message then click 'Get Started' to open the chat.
Document or Invoice Page
A second way to message stakeholders in-app is on the Document or Invoice page.
Click the Documents Icon to go to the Document Management System then select the 'Documents' tab to send a message about a document or the 'Invoices' tab to send a message about an Invoice.
Search for the document or Invoice by entering the Plan Number or Contractor's name then click the file name to view the Document or Invoice page.
When the page opens, scroll down and click 'Message Stakeholders'.
The 'Message Stakeholders' window will open. Follow the instructions above to open a chat with stakeholders about the document or Invoice.
Messages Icon
A third way to send messages in-app is through the Messages Icon.
Click the Messages Icon on the toolbar to open a chat. The Messages page will open showing all recent messages in chatrooms with selected contacts.
Click the '+' button to open a new chat or select a chatroom from the list to add a new message.
When the window opens, all of the fields will be empty. Select the Building by address or Plan Number and add contacts to invite to the chatroom. Then enter a subject and message.
It's optional to add a Job, document or Invoice to be discussed.
Click 'Get Started' to open the chat.
Building Directory
Organisation Admins can also initiate a conversation with a Building Contact from the Building Profile. Click the Buildings Icon to go to the Buildings page.
Search for the Building by Plan Number or address.
Then click the address to go to the Building Profile and select the link to 'View Directory'.
The Building Directory will open and show certain information for contacts like their name, profile photo, email, role within the Strata Organisation and the number of lots and units for the Building.
Enter a Name, Email or number of Lots to search the list of contacts or filter by selecting a Role from the drop-down menu.
Then click the 'Send Message' link under a contact to send a new message.
Note: If a contact doesn't have a link under their name, it means that either they do not have an active Strata Connect account, or they have requested not to be contacted.
Receiving and Replying to Messages
Organisation Admins will be notified of new messages based on their notification settings. New messages can be read and responded to directly from the email notification or by clicking the link to view the message in the Portal.
New messages can also be checked by clicking the Messages Icon on the toolbar.
On the Messages page, all recent messages in chatrooms with selected contacts will be shown. Click any message on the list to view the chatroom and continue chatting.
To archive a chat, click the 'X Archive' button in the right corner of the thread. When the mouse is hovered over the button, it will appear red.
Switch the toggle for 'Show Archived' to the right to view all archived chats.
Any chat can be unarchived by clicking the '+ Unarchive' button in the right corner of the thread. This will restore the chat to the main page where new messages can be added to the thread.
To edit a message that's already been sent, hover the mouse over the message. Click the Edit Icon to make changes to the message. When the message auto-populates in the text box for the chatroom, edit it and click the arrow to send.
To delete a message that's already been sent, hover the mouse over the message. Click the Delete Icon to delete the message from the chat. When the pop-up appears to confirm, click 'Delete' to delete the message.
Note: If a message has been edited or deleted, the action will be recorded in the chat thread.
Organisation Admins and other contacts can also respond to chats by email. All replies will be updated in the chatroom of the Portal.
Download a Copy of the Chat
A copy of a chat can be downloaded on the Messages page. Open the chat then click the Download Chat Icon on the top right above the file.
Click the 'Download' button on the right of the window to download a copy of the chat.
Chats can also be downloaded in Bulk.
Select the conversations that will be downloaded or click the checkbox on the top right to select ALL.
Click Bulk Action and choose 'Download Selected Chats' to download all the chats that were selected or 'Download All Chats' to download all the chats that are currently within the user's view.
When the user enters a filter in the search bar, the Bulk Action will have an option to 'Download All Filtered Chats' according to the Filter on the search bar.
Printer settings can be selected on the left of the window if the file needs to be printed.
