Information on the Contacts Page
On the Contacts page, Organisation Admins can view contact information for all Committee Members and Owners.
Each contact's Name and Email Address will be listed.
Under Strata Master Details, it will display the contact's Plan Number, the type of contact, and their Lot Number. Contacts can be one of three types: 'Committee Member', 'Owner Landlord' or 'Owner Occupier'.
The 'Status' column will show whether a user is 'Active', 'Invited', 'Imported', or 'Deactivated' in the Portal.
Search Bar
Organisation Admins can use the Search Bar to find pertinent information for contacts. Search by Name or Email to view a specific contact.
For example, enter 'John' to view all contacts with 'John' in their name.
Location Filters
With Location Filters, Organisation Admins can filter contacts by the location of the Building that they own or occupy.
To filter by location, enter the address or Plan Number of a Building in the Location Filter.
If only the street name has been entered, all Buildings on that street will be listed on the
drop-down menu. Choose an option from the menu to view a location.
Type Filters
Type Filters allow Organisation Admins to view all contacts of a specific type. The Contacts page features three types of contacts: Committee Members, Owners that are landlords of a Building and Owners that live on-site in the Building.
Select a type from the menu to view all contacts that meet the criteria.
Status Filters
Status Filters allow Organisation Admins to view all of the contacts with a particular status.
Status Filters default to 'All', which shows all contacts, including those that are 'Imported', 'Invited', 'Active', and 'Deactivated'
Select any status from the menu for a filtered view of contacts with that status.
Imported
Click 'Imported' to view all contacts that were imported from Strata Master to the Portal. If a contact was imported from Strata Master but hasn't yet been invited, there will be an 'Invite' link in the 'Status' column.
Select 'Invite' to send an email invitation to the contact. The status will change from 'Imported' to 'Invited'.
For more information, please see Send an Email Invitation to Committee Members and Owners
Invited
The 'Invited' status means that the contact has previously been invited but hasn't yet activated their account. The date that the last email invitation was sent will be logged under the status.
If an Invited contact hasn't signed up for the Portal, a Support Manager can reinvite them to do so by clicking the 'Reinvite' link on the Users Page.
To view all users that have been invited to use the Portal, including those that haven't signed in, select 'Invited' from the 'Status' menu.
For more information, please see Functions and Features of the Users Page
Active
Select 'Active' to view all contacts that are actively using the Portal.
The last sign-in date will be listed under the status.
Clicking Revoke will remove the contact's ability to access their account and their Status will be reverted back to 'Invited'.
Management Status Filter
The Management Status Filter allows Organisation Admins to filter the management status of their plans.
Actively Managed displays contacts that are current owners of buildings that are actively managed by the organisation.
Not Managed shows contacts that are previous owners of actively managed buildings or owners for buildings that are no longer managed by the organisation.
If the filter is removed this will display all the contacts.
Bulk Invite
Bulk Invite allows Organisation Admins to invite many imported contacts at once. Select contacts by clicking the check box in the column to the left of a contact's name then click 'Bulk Invite'.
Only contacts with the status 'Imported' can be selected.
When the 'Bulk Invite' window opens, select an automated email invite from the 'Email Automation' menu. Do NOT click 'Send' until a template has been added and the information below has been verified.
If a contact owns multiple properties from different plan numbers or from different organisations, the Organisation Admin can link the inactive profile to the active profile to provide access to all the buildings that the current contact owns.
Simply click the checkbox for 'Link to existing user if email already registered'. This will automatically link the new contact profile to the existing user profile that is already active in the portal.
Under 'Email', the email of each contact will be listed. Check that the emails are correct. An Alternative Email can be entered for a contact if they use more than one account (for example, work and personal accounts).
Under 'Organisation', the Strata Organisation of each contact will be listed.
When all of the information has been verified, click 'Send'.
Organisation Admins should contact us with any further questions regarding this process.
