Compliance Settings
Organisations have a few options available to them for managing compliance in the Portal. To configure compliance settings, navigate to Settings > Features - Internal.
Note: Only Organisation Admin users can change the feature configuration for their organisation.
To enable premium Creditor Compliance, select the checkbox for 'Enable Compliance Management service for your organisation'.
To enable the sync with Strata Master for compliance labels, select the checkbox for 'Import the compliance status of your service providers from Strata Master'.
Both compliance settings have sub-features that allow the organisation to restrict the sending of work orders or the approval of invoices if their service providers are non-compliant.
For premium Creditor Compliance, the statuses must be Approved, Pending, or Not Required. For Strata Master compliance, the statuses must be Compliant, Restricted, or Exempt.
If valid compliance is required to send work orders or approve invoices, the user cannot override the requirement.
Contractor List & Profile
To view licence and insurance details for a Service Provider, click the Contractors Icon () to go to the Contractors page. If premium compliance is enabled, compliance labels will be displayed under the 'ABN/Licence/Accreditation/Insurance' column.
Aside from the Compliance List, Strata Managers can also view compliance information on the Contractor Profile page.
Licence and insurance details can also be viewed when a Strata Manager is preparing a
Work or Quote Request and is selecting a Service Provider to assign.
Premium Compliance Follow Ups
To view further details about the compliance documents, Strata Managers can click on the Insurance or Licence labels to open the Compliance Modal. The Compliance Modal will have a record of all messages and follow-up attempts done by compliance managers and those that are automatically sent by the system to have the contractor update their compliance documents in the portal.
Emails reminders are sent out 30 days, 7 days, and 24 hours before the expiration date as well as a nudge on the day a document expires. If the documents expire, reminders will be sent out every 7 days until the documents are updated.
Every time a work order is sent to a Service Provider with invalid or expired documentation, they will receive a nudge to let them know that they are non-compliant and that they should update their documentation.
