The Contacts section on the Building Profile page allows you to manage and view all individuals associated with their building. It provides an organised view of Building Management, Team Members, Strata Members, and Guests,
They can add users under these tabs and update permissions for existing Building Contacts as needed.
Building Management
This tab lists all building managers responsible for overseeing property operations, maintenance, and communication with residents or tenants.
Details displayed include:
Name and Role
Contact Information – Phone number and email (if available)
Account Status – Active or Invited, with corresponding dates of activation or when the last invite was sent
More Options Menu (⋮) – Opens additional actions related to the contact (e.g., edit or remove).
New Building Manager
Click the “+” icon at the top-right of the Contacts section.
Choose the type of contact > Building Manager
Enter the contact’s Email, First Name, and Last Name.
You can assign specific permissions using the toggle switches:
Receive Job Notification -Adds the Building Manager to work or quote request notifications.
Approve Invoice - Allows approval of uploaded invoices for processing.
Edit Building Settings & Profile - Grants access to modify building settings and details.
Enable Maintenance Management - Allows management of maintenance for new trade requests.
After selecting permissions, click Send Invitation to finalize.
Team Members
The Team Members tab lists users who are part of the building’s management or operational team, assisting with daily tasks, communication, and administration. Team Members can also be listed to be displayed on the Building Profile page.
Displayed fields include:
Full Name and Role
Contact information– Clickable mail link for direct contact.
Message Icon – Opens a chat or message window to communicate directly.
Rating Option – A 5-star rating tool to provide feedback on the team member’s performance.
More Options Menu (⋮) – Opens additional actions related to the contact (e.g., edit or remove).
New Team Member
Click the “+” icon at the top-right of the Contacts section.
Choose the type of contact > Team Member
When adding a Team Member, a form will appear with the following fields:
User – select from the available users list or type the user name.
Role (Displayed on Building Profile) – Define the member’s role as it will appear on the Building Profile (e.g., Building Coordinator or Support Staff).
Display on Building Profile – Check this box to make the team member visible on the Building Profile page.
Once complete, click Save to add the team member.
Strata Members
The Strata Members tab lists all lot owners, occupiers, landlords, and committee members.
Users can search by name or filter by Lot Number and Role for quicker access.
Displayed fields include:
Name and Role – e.g. Owner occupier, Committee member, Managing Real Estate Agent
Lot Number – Assigned building unit or property lot
Contact Information - name and email address (if available)
Message Icon – Opens a message window for contact
More Options Menu (⋮) – Opens additional actions related to the contact (e.g., edit or remove).
Guest users are temporary accounts created for external collaborators such as auditors or inspectors with limited access to the Portal for inspections of records. ‘
When adding a Guest User, complete the following fields:
User Type – Select Auditor or Inspector from the dropdown.
Email – Enter the guest’s email address.
First Name and Last Name
Invitation Template – Select Guest Access Invite or another available template to prefill message content.
Access Permissions
Select the sections the guest can view:
Documents
Invoices
Jobs
Chats
(Optional) Lot Number – Assign a specific lot if applicable. Leave blank if not relevant.
Access Time – Set a Start Date and End Date for the guest’s access period.
Once all fields and permissions are set, click Save and Invite to send the invitation.
