After an Invoice has been added to the Document Management System (DMS), Building Managers can link the Invoice directly to a Job in the Portal.
This can help to provide a broader context for the Invoice, such as details or correspondence that may expedite the approval process.
Link an Invoice to a Job
1. Go to the Invoice Summary page
2. Click 'Edit'
3. If Creditor Details aren't completed, enter Name, ABN, Email
4. Under Invoice Details, click the Link Icon next to Trade ID
5. When the pop-up appears, search for the Job to link by entering the
Company Name, Owner, ID, Trade, Email or Phone
6. Click 'Search'
Note: This will search the entire database of Jobs based on the criteria entered
7. Select the Job and click 'Link'
After an Invoice has been linked, information for the Job can be viewed by clicking the Wrench Icon on the Invoice Summary page.
When an Invoice is linked to a Job, the 'Invoice' tab on the Work Summary page will be purple. When the job is NOT linked, the 'Invoice' tab will be grey.
