Building Managers may decide to send a Quote to the Committee for review and approval.
Since this capability is integrated with the Portal, it can help Building Managers to save time and stay organised, especially if they are working on many different Jobs.
Send a Quote to the Committee
1. Go to the Jobs page (Wrench Icon )
2. Select the Job
3. Click the 'Request Quote Approval' button on the Work Summary page
4. Select the Quote to send for approval
5. Enter a Message for the Building Contacts
6. Click 'Next'
7. Select the Committee Members to ask
8. Click the 'Add a guest contact' button to add a new Committee Member
9. Enter the Name and Email
Note: Building Managers can request each Committee Member listed review the Quote by clicking the 'Select All' link
10. (Optional) Assign a 'Deciding Voter'
11. Click 'Send'
The selected Committee Members will receive an email notification with important Job details and a request that they vote for or against the Job proceeding by clicking a link that goes to the Voting page. Committee Members can send messages to the Building Manager and discuss the Job on the Discussion Board of the Voting page.
After the completion of the voting process, the voting results will be automatically exported into the Document Management System, under the 'Maintenance' category for record-keeping purposes. This document includes the details of the quotes, who voted for each quote, the discussion board messages, and the job history.
