Change Profile and Organisation Settings
Accounts Settings
The Account Settings section allows users to manage their personal account details, security preferences, and integrations in one place. This is where you can update your profile information, configure security features like Two-Factor Authentication (2FA), adjust notification preferences, and manage app integrations.
To view and update the Account Settings , click the User Icon on the toolbar then select 'Settings'.
Profile
The Profile section allows users to update personal details and manage the account’s appearance. They can edit the name, contact information, and upload a profile photo. The profile information helps other users identify users within the platform.
In this section, you can view and edit your personal information:
Account role: Displays your current role (e.g., Organisation Admin). This field is read-only.
First name / Last name: Update the name displayed across the platform.
Email: Displays the registered login email, which is also used for receiving notifications. This information can be updated if required.
Phone number: Add or update the contact number as needed.
If there's already a profile photo added, a preview of the image will be shown. The current photo can be removed by clicking the check box for 'Remove Profile Image'.
To add a profile photo, click 'Choose File' and attach a photo.
Choose an image file (up to 10 MB) from your device.
The uploaded image will automatically appear in your profile preview.
Click Save changes to apply the update.
All of the information listed above is visible to all Service Providers and Committee Members contacted.
Two-Factor Authentication (2FA)
Two-Factor Authentication (2FA) adds an extra layer of security to the account. When enabled, users are required to enter a One-Time Password (OTP) sent to their registered email each time they log in. This helps protect the account from unauthorized access, even if the password is compromised.
They can also require this for all Organisation Admin and Strata Managers users for their organisation by going to Settings > Internal Features
When enabled, all Organisation Admin and Strata Managers users will be required to input a One-Time Password (OTP) that will be sent to their email on each log-in attempt.
Note: Currently the One-Time Password (OTP) can only be sent via email
Notifications
Organisation Admins can update notification settings by selecting 'Notifications' on the Settings page.
They can decide whether to make changes to a specific type of notification (In App, SMS or Email) and to the frequency which they receive email notifications.
Selections made under 'Basic Settings' will be applied to all notifications.
To view more options and change notifications for specific functions and kinds of updates, click 'Advanced Settings'.
Integrations
Organisation Admins can link Outlook, Strata Master, Bing and Smata Connect (Connection Services) to their User Profile or the Organisation by selecting 'Integrations' on the Settings page.
The Outlook plugin can be used to archive emails and attachments to the Document Management System.
The Bing integration allows your organisation to integrate with Bing to mail out quote to owners for approval.
Organisation Settings
Organisation Admins can oversee their company's information on the Settings page under the Organisation page. This is also where they can activate permission access and features for all company users.
General
Billing
The Billing page allows your organisation to manage and configure charges for different types of time and event-based activities within the platform.
You can create, store, report on, and track billing events to ensure consistent charge application across your organisation.
Permissions
The Permissions page allows your organisation to manage global and role-based access settings for key actions within the portal.
From here, administrators can enable or restrict user capabilities such as editing, viewing, or deleting documents and invoices.
Internal Features
The Internal Features page is where Organisation Admins can enable features and premium services for the Organisation such as Guest Access, Maintenance Management, Compliance Management, Strata Master Compliance, Barcode Scanning, Building Profile, Document Management and Invoice Processing, Quick Add Provider, Bing Mail, Time and Charges, Notification Digest, Meeting Management, Invoice Transaction Date, Two-Factor Authentication and Invoice Finance.
This also gives a summary of each feature.
External Features
This is where Organisation Admins manage default permission settings that apply to all buildings for each role type. The following permission includes Create Work Request, View Building Directory, View Building Funds, View Building Rule, View Levy Notices, View Recent Works, View Manager Star Rating, View Upcoming Works, Generate Financial Report and Access Messages.
Building Services
This page is where global documents or links are added to the Building Services dropdown of the Building Profile, it will show the most important information and documents for their properties, including links to forms needed by tenants.
Brand
This is where the Organisation can set the brand design that is visible in-app and in emails to the users.
Documents & Finance
The Documents & Finance section enables users to manage key settings related to document organisation and financial operations. It includes tools for customising document tags and categories, setting invoice duplicate criteria to prevent processing errors, and managing user access to various financial reports.
