Organisation Admins can easily create a Work Request for new Jobs by going to the Jobs page or to the Buildings page.
Creating and processing Work Requests in the Portal helps to streamline business operations, improving compliance with Building Rules and reducing human error along with any inconsistencies.
Create a Work Request
1. Go to the Jobs page (Wrench Icon )
2. Click 'New Job'
3. Or, go to the Buildings page and click 'New Job'
4. Identify if the issue presents a Hazard/Risk
If a request involves a hazard or risk, select "YES" and enter the hazard/risk details in the Description Field (required). Then answer the 'notification' and the 'make safe' action questions.
5. Enter the Request Details:
- Building Address
- Issue Title
- Description of the Issue
- Preferred Dates for an Inspection
6. Attach images, videos or files by dragging and dropping them onto the shaded area
7. Add a Site Contact
- Select a 'Site Contact' from the drop-down menu
- If required, make changes to the Contact Details that are visible to the Service Provider
- Or, click '+ Add Site Contact' to add a new Site Contact that isn't in the Strata Master database
8. Add a Building Contact to receive notifications
Note: If a building contact is nominated as a Site Contact, they will automatically be added as a 'Building Contact to Receive Notifications' and will not appear as an option to select again.
9. Click 'Submit Request'
10. Click the 'Work Request' button under Job Type
11. Set a Price Limit for the Job (if any)
12. If Maintenance Management is enabled for the building, select whether a Maintenance Manager is required to assist with the job.
For more information, please see Maintenance Management Service
13. Select the Time Frame and edit the Date of Commencement if required.
Or choose whether to disable the Time Out feature.
14. Add a GL code (optional)
Note: When a GL code is added here it will automatically populate the row items on the uploaded invoice
15. Click 'Next'
16. Select a preferred Service Provider:
- Search by entering a Trade in the Trade Search Bar and choosing from a list of Service Providers that meet the criteria
- Or, search by entering the Name of a Service Provider in the Contractor Search Bar
Note: If the Service Provider is not within the Service Area for the Quote Request or has not set their Service Area on their Company Profile, they will not appear in the list of results. To override this, clear the selection for 'Limit results to Service Providers that work in the area the Plan Number is in'
17. Click 'Create' or click 'Schedule' to send the Work Request at a later time.
For more information, please see Use Scheduled Send for a Work or Quote Request
This will trigger an email notifying the Service Providers, Site Contacts and Building Contacts of the Work Request.
If the Service Provider has not yet activated their account, the Service Provider will receive an invite with a link to activate the account once the Work Request is submitted. The Service Provider will receive the Work Request email to the Email for R&M from the Strata Master database of the Organisation (if any).
For more information, please see Find the Building Contacts for a Job and How to Add Due Dates for Completion and Commencement of a Work Request.
Organisation Admins should contact us with any further questions regarding this process.
