Requirements: Strata Master v15.0.5 or above
Strata meetings are an essential part of managing a strata property. They provide owners and strata managers with an opportunity to discuss and make decisions on various matters affecting the strata property. However, traditional in-person meetings can be difficult to schedule and attend, especially if owners have busy schedules or live far away. Fortunately, online voting for strata meetings is possible from the Owners Portal.
1. Configure Online Voting in Strata Master to 'MRI Strata Connect'
The first step is to configure online voting for your agency. Log into Strata Master and navigate to Configure > Agency > Option #3. (You will need administrator permissions in Strata Master)
2. Ensure the building has Online Voting approved
3. Create a new meeting in Strata Master
Create a new meeting in Strata Master>Registers>Select the building>Meetings
4. Select 'Allow Online Voting' for this meeting and enter a voting cut off date and time
Go to the meeting details page and select the option to 'Allow Online Voting' and enter a cut-off date and time. Lot owners will be able to edit their vote until the cut-off date and time you enter.
5. Create the meeting agenda
Use the Meeting Wizard to create and issue your meeting agenda.
6. Once the meeting agenda is completed and issued, you can open online voting for your lot owners
7. In the Portal, go to the Building Profile and view Upcoming Meetings
Strata Managers can view online voting details by going to the Building Profile>Upcoming Meetings. Click More Details under Upcoming Meetings
6. Add attachments to the meeting
You can attach your agenda and any other documents relevant to the meeting by clicking the symbol. This allows owners to access and review the relevant documents before voting.
7. Voters can click 'Vote' under Upcoming Meetings on the Building Profile page.
Once online voting is open, Owners can access the meeting details and vote on the agenda items by logging into the Owners Portal and clicking on 'Upcoming Meetings' on the Building Profile page. From there, owners can select the meeting to vote on and click 'Vote" to access the voting page.
8. Voters can vote on the agenda items
Once owners have accessed the voting page, they can vote on the agenda items by selecting their preferred option for each item.
9. Click 'Submit' once all votes have been selected
After owners have selected their preferred option for each agenda item, they can click 'Submit' to submit their votes. They will receive a confirmation message once their votes have been successfully submitted.
10. Votes are recorded in Strata Master
All votes submitted online are recorded in Strata Master. The Strata Manager can generate the report from the Meeting Wizard>Prepare Meeting Attandance and/or Voting Registers>Formatted Reports>Voting Register. Note: Make sure you print this after the cutoff date and time to ensure you capture all the votes.
