Committee Members & Owners can use the Search Bar to find pertinent information for Documents and Invoices. Select the 'Documents' tab to search for a Document or the 'Invoices' tab to search
for an Invoice.
- Search by File Name to view a specific file
- Search by Type to view all files of a specific category
- Search by Plan Number to view all files for a Plan
- Search by Contractor to view all invoices for a Contractor
- Search by Invoice Number to view a specific invoice
- Search by Invoice Amount to view all invoices of a specific amount
- Search by Invoice Status to view all invoices of a specific status
- Search by Action User to view all invoices with that user to approve
- Search by Word or Phrase to view all files with that word or phrase listed
Don't press 'Enter'. A drop-down will appear under the Search Bar with grey filter options.
Click on the relevant grey tab to apply the filter to the search.
Once a filter has been applied, it will appear as a green tab in the search bar.
Multiple filters can be used at one time. Simply repeat the process to add another filter.
Another option for locating files is Text Searching. If Committee Members & Owners know the content of a file, they can use key search terms in the search bar to locate those files. To search for multiple terms, include ‘WITH’ between all words.
Searching by key terms will scan the DMS for matching text within documents and list all results of documents containing that text.
Finally, Committee Members & Owners can also use the advanced image recognition technology to search for a keyword and identify documents that contain images related to that word, even if that word doesn't appear in the Document Name or as part of the document's content.
Users can find out more about search options by clicking the 'Tool Tip' icon ''. When clicked, this will show the following options that will assist users in navigating the Document Management System and searching for documents.
Search Tips displays shortcuts and shows tips on how to easily search and filter documents and files.
Categories displays the list of categories that are used for document filing by the Strata Organisation and can be used to search for documents efficiently.
Tags displays the list of tags that are used for document filing by the Strata Organisation that can also be used to filter and search for documents.
